About our privacy policy

Dutch Roof Design BV cares deeply about your privacy. Therefore, we only process data that we need for (improving) our services and handle the information we collect about you and your use of our services with care. We never share your data with third parties for commercial purposes.

This privacy policy applies to the use of the website and the services provided by Dutch Roof Design BV. The effective date of these terms and conditions is January 1, 2024. The publication of a new version renders all previous versions invalid.

This privacy policy describes what information we collect about you, what this information is used for, and with whom and under what conditions this information may be shared with third parties. We also explain how we store your data, how we protect it from misuse, and what rights you have regarding the personal data you provide to us.

Data processing

Below you can read how we process your data, where we store it or have it stored, which security techniques we use and for whom the data is transparent.

Web Store Software WooCommerce

Our online store is developed using software from WordPress/WooCommerce. Personal data you provide to us for the purposes of our services will be shared with this party. WordPress/WooCommerce has access to your data to provide us with (technical) support; they will never use your data for any other purpose. WordPress/WooCommerce is obligated to implement appropriate security measures under our agreement with them. These security measures include SSL encryption and a strong password policy.

Dutch Roof Design uses cookies to collect technical information regarding your use of the software; no personal data is collected and/or stored.

Webhosting

We purchase web hosting and email services from commercial hosting providers. These providers process personal data on our behalf and do not use your data for their own purposes. However, these providers may collect metadata about the use of the services. This is not considered personal data. These providers have implemented appropriate technical and organizational measures to prevent the loss and unauthorized use of your personal data. They are obligated to maintain confidentiality under their agreements with Dutch Roof Design BV.

Payment processors Mollie

We use the Mollie platform to process (part of) the payments in our online store. Mollie processes your name, address, and city of residence, as well as your payment information such as your bank account or credit card number. Mollie has implemented appropriate technical and organizational measures to protect your personal data. Mollie reserves the right to use your data to further improve its services and, in that context, to share (anonymized) data with third parties. All the aforementioned safeguards regarding the protection of your personal data also apply to the parts of Mollie's services for which it engages third parties. Mollie will not retain your data for longer than is legally permitted.

Purpose of data processing

We use your data solely for the purposes of providing our services. This means that the purpose of processing is always directly related to the order you place. We do not use your data for (targeted) marketing.

If you share information with us and we use this information to contact you at a later date—other than at your request—we will ask for your explicit consent. Your information will not be shared with third parties, except to comply with accounting and other administrative obligations. These third parties are all bound by confidentiality under the agreement between them and us, an oath, or a legal obligation. Automatically collected data

Data automatically collected by our website is processed for the purpose of further improving our services. This information (e.g., your IP address, web browser, and operating system) is not personal data. Cooperation with tax and criminal investigations: In certain cases, Dutch Roof Design BV may be legally obligated to share your information in connection with government tax or criminal investigations.

In such a case we are forced to share your data, but we will object to this within the limits of the law.

Retention periods

We retain your data for as long as you are a client of ours. This means we keep your customer profile until you indicate that you no longer wish to use our services. If you inform us of this, we will also consider it as a request to be forgotten. This also means we will retain your data for no longer than two years from the last contact or transaction, unless there is a legal justification for doing so.

Due to applicable administrative obligations, we are required to retain invoices containing your (personal) data. We will therefore retain this data for the duration of the applicable retention period. However, employees will no longer have access to your client profile and documents we have created in connection with your assignment.

Your rights

On the basis of the applicable Dutch and European legislation, you as a data subject have certain rights with regard to the personal data processed by or on behalf of us. We explain below what these rights are and how you can invoke these rights.

To prevent misuse, we generally send copies of your data only to the email address you already have on file with us. If you wish to receive the data at a different email address or, for example, by mail, we will ask you to identify yourself. We maintain a record of processed requests; in the case of a request to be forgotten, we record anonymized data.

You will receive all transcripts and copies of data in the machine-readable format we use within our systems. You have the right to lodge a complaint with the Dutch Data Protection Authority at any time if you suspect we are misusing your personal data.

Right of inspection

You always have the right to access the data we process (or have processed) that relates to you personally or can be traced back to you. You can submit a request to this effect to our privacy contact person. You will receive a response to your request within 30 days.

If your request is granted, we will send you a copy of all data to the email address we have on file for you, along with an overview of the processors who hold this data, stating the category under which we have stored this data.

Rectification right

You always have the right to have the data that we (or have it processed) that relate to your person or that can be traced to that change. You can make a request to that effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send you a confirmation at the e-mail address known to us that the information has been changed.

Right to limit processing

You always have the right to limit the data that we (have) process that relate to or can be traced to your person. You can make a request to that effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send you a confirmation at the e-mail address known to us that the information until you remove the restriction will no longer be processed.

Right to transferability

You always have the right to have the data that we (or have it processed) that relate to your person or that can be traced to that data carried out by another party. You can make a request to that effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send you copies or copies of all data about you that we have processed or that have been processed on our behalf by other processors or third parties at the e-mail address known to us. In all likelihood, in such a case, we can no longer continue to provide services, because the secure linking of data files can then no longer be guaranteed.

Right of objection and other rights

You have the right to object to the processing of your personal data by or on behalf of Dutch Roof Design BV in certain circumstances. If you object, we will immediately cease processing your data pending the resolution of your objection. If your objection is justified, we will provide you with copies of the data we process (or have processed) and then permanently cease processing.

You also have the right not to be subject to automated individual decision-making or profiling. We do not process your data in such a way that this right applies. If you believe that this is the case, please contact our contact person for privacy matters.

In the event that third party software solutions use cookies, this is stated in this privacy statement.

Changes to the privacy policy

We reserve the right to change our privacy policy at any time. However, you will always find the most recent version on this page. If the new privacy policy has consequences for the way in which we process already collected data with regard to you, we will inform you of this by e-mail.
